Pipeline velocity is the speed at which candidates move through the hiring funnel from one stage to the next.

Time-to-hire is useful, but it can hide where candidates slow down. Pipeline velocity shows whether the process is moving, waiting for manager feedback, blocked by scheduling, or overloaded at screening.

What to Distinguish

Pipeline velocity describes movement, but does not have one universal recruiting formula. Define it through transition time and stage conversion so a fast process that loses suitable candidates is not mistaken for a healthy funnel.

A Practical Example

Illustrative example: A dashboard shows candidates move from application to screen in one day but wait seven days for hiring manager review. The team fixes the bottleneck by sending evidence summaries and setting review SLAs.

What to Measure

Use explicit definitions for your reporting. The following are practical measurement choices, not universal benchmarks or claimed product results.

Measure Definition Interpretation
Stage transition time Next-stage entry timestamp minus current-stage entry timestamp. State whether you measure completed stages only; separately show candidates still waiting.
Stalled candidates Count of active candidates beyond a stage-specific response target. Assign an owner and explain pauses; use targets the team can reasonably meet.

How to Apply It

Review the oldest active candidates alongside completed-stage timings. Identify who can unblock each handoff, communicate delays and verify that faster movement preserves the evidence needed for the next decision.

Common Mistakes

  • Speeding up weak decisions instead of improving flow.
  • Using one average across every role.
  • Not assigning ownership for stalled stages.
  • Ignoring candidate communication during waiting periods.
