What Is a Hiring Funnel?

Published
Updated
A hiring funnel is the sequence of stages candidates move through from awareness or sourcing to application, screening, interview, offer, and hire.
Without a funnel view, teams debate anecdotes. A funnel makes bottlenecks visible: too few qualified applicants, slow screening, weak interview conversion, offer declines, or lost candidates after follow-up gaps.
What to Distinguish
The funnel describes movement between stages. A talent pool can contain people who are not applying for a live role. Keep stage definitions stable so an interview invitation, completed interview and approved shortlist are not counted as the same event.
A Practical Example
Illustrative example: A team has plenty of applicants but few interviews. The funnel shows that screening is slow and the criteria are unclear. After calibrating must-haves and automating evidence collection, more qualified candidates reach interview sooner.
What to Measure
Use explicit definitions for your reporting. The following are practical measurement choices, not universal benchmarks or claimed product results.
| Measure | Definition | Interpretation |
|---|---|---|
| Stage conversion | Candidates who reach the next stage ÷ candidates entering the current stage × 100. | Follow a defined cohort long enough to progress; report pending candidates separately. |
| Time in stage | Stage exit timestamp minus stage entry timestamp. | Show the median for completed stages and the current age of candidates still waiting. |
How to Apply It
Map the actual stages from application to offer acceptance, name an owner for each handoff, and review where candidates wait or withdraw. Fix the limiting stage before buying more applicant traffic.
Common Mistakes
- Treating the funnel as a volume machine only.
- Ignoring quality and candidate experience.
- Using one average for every role type.
- Fixing the top of funnel when the bottleneck is screening or offers.
Where Skill Society Fits
Skill Society supports the application-to-shortlist stage with role-specific screening and candidate evidence for human review. Measure that stage alongside the rest of the funnel to see where workload or waiting time changes.
