Recruiter capacity is the amount of hiring work a recruiter can realistically manage while maintaining quality, speed, compliance, and candidate experience.

Teams often measure recruiter workload by open requisitions only. Real capacity also depends on role complexity, applicant volume, sourcing needs, interview coordination, hiring manager responsiveness, and screening support.

## What to Distinguish

Capacity measures manageable work, not just the number of open roles. Ten specialist searches can require a different mix of time from ten high-volume roles. Estimate the hours needed for sourcing, review, coordination and candidate communication.

## A Practical Example

**Illustrative example:** Two recruiters each own ten requisitions, but one handles specialised outbound roles and the other handles high-volume inbound roles. Capacity planning needs to account for both complexity and candidate volume.

## What to Measure

Use explicit definitions for your reporting. The following are practical measurement choices, not universal benchmarks or claimed product results.

| Screening workload | Applications requiring review × average review minutes ÷ 60. | This is a planning estimate; add interviews, follow-up and exception handling separately. |
| Available recruiting hours | Working hours allocated to recruiting minus existing commitments and non-recruiting duties. | Do not assume every paid hour can be used for screening or that saved time reduces payroll. |

## How to Apply It

Compare forecast workload with available time by role and week. Use a short time sample to estimate recurring tasks, then reduce unnecessary work or rebalance assignments before increasing requisition load.

## Common Mistakes

- Equating capacity with requisition count only.
- Rewarding volume while quality falls.
- Forgetting hiring manager workload.
- Adding tools without changing the process burden.
